The Half Dozen Group of Artists Inc. CANCELLATION POLICY
HDG-Artists Workshops Terms and Conditions
For the terms of this policy, “workshop” refers to tutored workshops other than a regular weekly scheduled workshop.
RESCHEDULING OF WORKSHOPS
1. Workshops may be cancelled or rescheduled by HDG-Artists due to undersubscription 7 days prior to the advertised date.
2. Workshops may be cancelled or rescheduled within 7 days of the advertised date by HDG-Artists due to tutor cancellation (e.g. illness or accident) or inclement weather with no alternative location availability.
PAYMENTS
3. Payments received for workshops that are cancelled by HDG-Artists due to undersubscription, tutor cancellation (e.g. due to illness or accident) or inclement weather with no alternative location availability, will be refunded in full as per schedule 7.
4. Where a workshop has been re-scheduled by HDG-Artists, any payments may be refunded according to the conditions in Schedule 6 for the new date. Any previous unpaid registrations will be given priority in booking for the rescheduled workshop.
5. Workshops fees are payable at time of registration. A credit may be applied to any outstanding invoices according to schedule 6 at the discretion of the convenor.
6. Withdrawal of registration prior to a workshop or non-attendance of a registrant will be refunded or credited, according to the following schedule.
a. Withdrawal more than 14 days prior to the advertised date of workshop
i. Payments will be refunded in full (less any applicable merchant fees paid by the client)
ii. The position in the workshop considered vacant
b. Withdrawal between 7 days and 13 days prior to the advertised date of the workshop
i. Payments will be refunded at 50% (less any applicable merchant fees paid by the client)
c. Withdrawal less than 7 days prior to the advertised date of the workshop – for reasons other than illness or at the discretion of the convenor
i. Payments will be refunded at 25% (less any applicable merchant fees paid by the client)
d. Withdrawal less than 7 days prior to the advertised date of the workshop (other than regular weekly scheduled workshops) for reasons of illness provided in writing prior to and including the advertised workshop date and at the discretion of the convenor
i. Payments will be converted to a credit of 50% (less any applicable merchant fees paid by the client) valid for up to 12 months towards any workshop (other than regular weekly scheduled workshops) within that period
7. Any refunds applicable under this policy (less any applicable merchant fees paid by the client) will be paid upon receipt of bank details (within 30 days of the advertised workshop date) by the treasurer [email protected] for direct transfer of funds, or else the equivalent credit will be valid for up to 12 months towards any workshop (other than regular weekly workshops) within that period.

How do we use your information?
Any personal data will be used and recorded by The Half Dozen Group of Artists (HDG-Artists) in accordance with current data protection legislation and this Privacy Policy. We may use your personal information to communicate with you, for invoicing, for record keeping purposes, and in aggregate (and therefore anonymously) for market research purposes, to track activity on our site, and/or to improve usefulness and content and for any other purpose that we may notify to you and the relevant data protection authority from time to time. We do not store credit card details.
We reserve the right to provide personal information to emergency personnel in the event of an emergency.
We may operate a mailing list to send you art related news. This mailing list currently operates as a ‘opt out’ mailing list whereby subscribers may remove themselves from the list after the initial subscription when email and/or postal address is supplied. We only send emails to addresses, which have been provided to us by you, we do not ‘spam’. If you wish to unsubscribe from the list, please e-mail us at [email protected].
We reserve the right to disclose your personal information to anyone who may take over the running of the organisation including your personal information. We reserve the right to disclose your personal information to any law enforcement agency requesting it in connection with the commission of any offence once we are reasonably satisfied as to the circumstances surrounding the request. We also reserve the right to access and disclose your personal information to comply with applicable laws a lawful government requests, to operate our systems properly or to protect our users and ourselves.
Except as expressly stated in this Privacy Policy, we will not sell, share, trade or licence your personal information to others without your express consent.
Security
We take every precaution to protect your personal information. In addition, we have strict security protocols in place to protect our customer database from unauthorised access, improper use or disclosure, unauthorised modification, and unlawful destruction or accidental loss. We only allow access to the customer database when necessary, and then under strict guidelines as to what use may be made of such details. We may ask you for proof of identity before disclosing any personal information to you.
We use accounting and payment software and Excel Spreadsheets to record and store attendance, payments and personal information provided by you when you join as a HDG-Artists Member or attend a workshop or exhibition.
Correcting and Updating Personal Information
If your personal information changes, or if you believe that the personal data we hold about you is incorrect, you may ask us to correct or update the personal information held by us by sending an email to [email protected] or advising the convenor at any session at the studio.
